Billing

Billing lives under the Revenue nav group. It covers invoices, offers, bundles, transactions, subscriptions, and Stripe status. This article describes product UI behavior only — not legal, tax, or Stripe account-setup advice.

The Billing page is organized into sections:

  1. Open BillingInvoices.
  2. Select Create Invoice.
  3. Choose the member, invoice type (for example membership dues), description, amount, tax, and due date.
  4. Save. The invoice appears in the list with a status (draft, sent, paid, overdue, or void).

For an unpaid invoice, use the row actions:

  • Pay — generates a payment link and opens it, so you can send it to the member (requires Stripe to be connected — if it isn’t, MemberHero tells you to connect it in Admin → Settings first).
  • Paid — marks the invoice paid manually (for a check, cash, or bank transfer payment received outside MemberHero).
  • Void — voids the invoice. This action is permission-gated; if you don’t have void rights, MemberHero blocks it.

On Subscriptions, open the row actions for an active Stripe-backed subscription and select Change Tier. Preview the prorated charge or credit, choose Immediately or At next renewal, then confirm.

The subscription keeps its current billing interval (monthly or annual). Members can also move themselves to a published tier from the portal Membership page (Change Plan).

From a payment record, open the refund action to issue a full or partial refund with a reason. Refunds require Stripe to be connected for that transaction.

Use Offers → the offer wizard to set up a new purchasable membership or product offer.

Donations lets you set up a giving campaign members can pay into for any amount they choose, with an optional fundraising goal and window. Donation campaigns also appear as a “round up my payment” add-on that a member can bundle onto another checkout.

Fees lets you configure a reusable application, late, processing, or expedite fee as a catalog item, then launch or send checkout for it per charge. Fees aren’t applied automatically — you trigger each charge yourself.

Use Bundles & Cross-sellNew bundle. A new bundle is saved as a draft so it is not checkoutable yet. Flip Active on that row when staff are ready to sell it. Bundles do not appear on the Offers tab.

  • Amounts and refunds — follow your organization’s finance policy; the person who owns Stripe/finance should sign off on anything unusual.
  • Test vs live — don’t experiment on production with real charges unless authorized.
  • Wrong payer or member — fix the record carefully; check with an admin before bulk changes.
  • The member-facing view of invoices is read-only in the member portal today — members can’t pay an invoice online through the portal yet, so payment links or other instructions still need to reach them directly. See Invoices & payment history for what members actually see. Donations are the exception: members can give online directly from the portal’s Give tab.
